Registering, UTR and tax payments

Yes, if your gross self-employment income from courier or delivery work exceeds £1,000 in a tax year you must register for Self Assessment. The deadline to register is 5 October following the end of the tax year in which you started. For example, if you started delivering in the 2025/26 tax year (ending 5 April 2026), you must register by 5 October 2026. Missing this deadline can result in HMRC penalties even where the tax owed is small.

Yes. A Unique Taxpayer Reference (UTR) is required to file a Self Assessment tax return. When you register as self-employed with HMRC, a 10-digit UTR is issued automatically. You need this to complete your tax return each year. If you work for multiple platforms — for example DPD and Amazon Flex — you only register once and report all income on a single return.

No. These platforms treat drivers as self-employed and pay gross income without deducting tax. You are responsible for registering as self-employed, keeping records and filing a Self Assessment return each year. HMRC also receives income data directly from platforms under digital reporting rules, so undeclared delivery income is increasingly easy to identify.

Yes. You register as self-employed once and report all courier and delivery income — from DPD, Amazon Flex, Evri, Just Eat, Deliveroo, Uber Eats or any other platform — on a single Self Assessment tax return. You cannot file separate returns for each platform. Keeping clear income records from each source makes the return straightforward.

If your Self Assessment tax bill exceeds £1,000, HMRC requires advance payments towards the following year's tax bill — called payments on account. These are due in January and July and are each 50% of the previous year's bill. Many couriers are caught off guard by these payments in their second year of self-employment. We factor payments on account into your tax planning so there are no surprises.

Expenses and mileage

Allowable expenses may include: business mileage (45p per mile up to 10,000 miles, 25p thereafter), fuel, vehicle insurance, repairs, servicing, MOT, tyres, cleaning, van or car finance interest, phone costs, data, delivery bags, protective clothing, parking for business journeys, tolls, platform fees charged by DPD, Amazon, Evri or Yodel, and accountancy fees. The claim must be wholly and exclusively for business use.

Self-employed couriers can use HMRC approved mileage rates: 45p per mile for the first 10,000 business miles and 25p per mile thereafter for cars and goods vehicles. Motorcycles use a different rate. You must keep a mileage log recording dates, start and end points, purpose of the journey and miles driven. You cannot also claim separate fuel costs if you are using the mileage rate for that vehicle.

No. Parking fines, penalty notices and similar charges are not allowable business expenses for tax purposes under HMRC rules. Legitimate parking costs incurred for business purposes — such as parking at a delivery depot — are generally allowable. Fines are not.

If you pay a substitute driver to cover your work, that cost may be allowable as a business expense, but it is treated as income of the substitute and they may have their own tax obligations. You cannot reduce your taxable income simply by making informal cash payments. The arrangement must be genuine, properly recorded and the substitute must account for their own income with HMRC.

Your vehicle: van, car and finance

No. You must choose either simplified mileage rates or actual vehicle running costs — you cannot combine both for the same vehicle. Once you choose simplified mileage for a vehicle, you must continue with that method for as long as you use it in the business. If you use a van exclusively for business work with no private use, claiming actual costs may be more beneficial. We can help you review which method is better for your situation.

Yes. A van used exclusively for business can usually have all running costs claimed without adjustment for private use. A car that is also used privately requires you to calculate the business-use percentage and claim only that proportion of costs. Many owner-drivers use a dedicated work van and a separate personal car, which simplifies the records significantly.

Van lease payments used wholly for business are generally allowable as a business expense. Finance agreements are treated differently — you can typically claim the interest element, not the full capital repayment, against business income. Where there is any private use, only the business proportion can be claimed. We review your finance documents before preparing your accounts.

VAT, company structure and Making Tax Digital

VAT registration is required when your taxable turnover exceeds the current VAT threshold of £90,000 in a rolling 12-month period (from April 2024). Most individual self-employed couriers are below this, but growing delivery companies, owner-driver businesses or those operating fleets can reach it. Most couriers operate as sole traders, which is simpler and avoids administrative overhead. A limited company may become more tax-efficient at higher profit levels — typically above £30,000–£50,000 profit — but involves more filings, costs and complexity. The right choice depends on your income, long-term plans and whether you want to employ others. We can walk you through both options.

Keep all income statements and payment summaries from each platform (DPD, Amazon, Evri, Yodel, Deliveroo, Just Eat), bank statements, invoices, fuel receipts, vehicle service and repair records, insurance documents, mileage logs, and any HMRC correspondence. HMRC requires records to be kept for at least five years after the 31 January filing deadline for that tax year.

Making Tax Digital for Income Tax (MTD for ITSA) will apply to sole traders with qualifying income over £50,000 from April 2026; over £30,000 from April 2027; and over £20,000 from April 2028.
